Personalized Schedule Arrangement

Boulay appreciates that there may be times in team member’s lives when work/life blending is best achieved with a role that is structured unique to a full-time schedule. In response to this need, we have developed the Personalized Schedule Arrangement (PSA) Program. The PSA Program allows team members to work with their departmental leadership, and Human Resources to explore individual adjusted work schedules that meet the needs of the team member and their department.

Any team member, in good performance standing, can request consideration for a Personalized Schedule Arrangement.


Program Details

The process begins with the team member having an initial conversation with their department leader to review their desired PSA start date, annual work hours and schedule. The department leader will assess the request and determine if, on initial review, the PSA can be accommodated in conjunction with the department needs related to team structure, peak and valley seasons, and responsibilities covered by the team member’s role.

Assuming the department can accommodate the desired schedule, the team member will meet with Human Resources to fully define the annual hours schedule, compensation rate, structure and level, and any potential benefit changes occurring with the transition.


Agreement

For planning purposes, the standard PSA period is defined as August 1 - July 31.  PSA’s with beginning dates other than August 1 can be requested for a pro-rated period.  The arrangement defines Billable and Non-Billable (Professional Education & Training, Business Development, Staff Development, Administrative) time by month, to show the annual hours commitment.

Team members, their department leader and Human Resources regularly review hours worked in comparison to hours scheduled, watching for hours trending higher or lower against the plan.  This is important to assure modified schedules and workloads are always aligned.  PSA team members assume the responsibility for regularly monitoring the hours and alerting their department leader and/or human resources, in a timely manner, if their hours are trending toward exceeding or not meeting their annual hour commitment and responsibilities.

Professional Membership and Continuing Professional Education (CPE)

Membership dues to the AICPA and MNCPA are fully funded by Boulay in accordance with Firm policy. The Firm will pay for certain outside CPE, on a pre-approved basis, but all team members are encouraged to attend the Firm’s in- house programs as much as possible.

How does this program benefit both the team member and the department/firm?

Utilizing this opportunity, team members have the flexibility to have a unique schedule for times in their lives when achieving work/life blending occurs best with a Personalized Schedule Arrangement. By providing this opportunity, the department and the firm are able to assure talented team members can remain active in our work community through various life phases.

Who is responsible for assuring my monthly and annual hours schedule are maintained?

We recognize that based upon work engagements, and personal schedules PSA team member’s time may shift a bit between months as originally planned. However, it is important that if their schedule was designed with specific hours parameters, (e.g., days of the week, hours maximum) that all parties—team member, PIC and Human Resources—assure these are monitored and honored. The team member is asked to assume the lead role in communicating if their annual hours are trending so as not to make, or exceed, the defined hour target.

When can PSA team members change their annual hours or schedule?

HR will connect with each PSA team member in July to discuss whether they are desiring a change to their annual total hours, and/or adjust where scheduled hours are to fall within the upcoming PSA year. Ideally these actions occur in conjunction with the annual PSA period of August 1 - July 31, but mid-year changes have occurred.

Will PSA team members be eligible for firm-provided benefits?

As long as their annual hour schedule is at least 1,040 hours, they are eligible to participate in benefit offerings.

Do PSA team members get Vacation Time, Personal Time, and Holiday Pay?

The PSA compensation calculation is adjusted for paid Vacation and Holiday time. However, PSA team members are eligible to accrue paid Personal Time up to 48 hours per calendar year, based upon anticipated hours worked. One hour of Personal Time is accrued for every 30 hours of work. The maximum Personal Time balance that team members can carry at any point is 80 hours.

Do PSA team members continue the same participation in the Performance Development / Quantum Workplace system and receive the same opportunities for learning and development, certifications and promotion consideration?

Absolutely. Their continued professional development, involvement in varied and quality work engagements, and career pathing will remain the same priority in this structure.

Will PSA team members continue to receive the same compensation opportunities?

They will continue to participate fully in the summer compensation review process and applicable Incentive Programs.

What if my annual hours exceed, or are less than the agreed upon annual hours?

All parties involved strive to attain the agreed upon annual hours to assure we are respecting the agreement, to assure departmental engagement plans are met, and the team member’s agreed upon compensation aligns with the agreed upon schedule.
